Booking Guidelines
Rules and responsibilities for booking venues at Church of the Divine Mercy, Shah Alam. Please read carefully before submitting a request.
No Food or Drinks in Venues
Food and drinks are strictly prohibited inside all bookable venues — except the Cafeteria. This covers all meeting rooms, halls, and shared spaces. Bookers are personally responsible for ensuring compliance and will be held liable for any mess or damage.
General Rules
-
1
Bookings must be submitted in advance. Last-minute walk-in use of venues is not permitted without prior approval from Parish Office.
-
2
Room allocation is on a first-come, first-served basis. Submitting a request does not guarantee approval — pending requests reserve the slot while under review.
-
3
Zero-waste policy applies to all events. Your group is responsible for clearing all rubbish and leaving the venue in a clean state after use. Failure to comply may result in loss of future booking privileges.
-
4
Furniture, equipment, and fixtures must be returned to their original positions after every booking. Do not move permanently fixed items.
-
5
Any damage to the venue or its contents must be reported to Parish Office immediately. Unreported damage will be the booker's financial responsibility.
-
6
For urgent or same-day matters, contact Parish Office directly via WhatsApp or phone (see contact details at the bottom of this page).
Private / External Events
- A rental fee and deposit apply. Amount is determined by Parish Office.
- Only zero-waste compliant caterers and suppliers are permitted. Non-compliance voids the deposit.
- Deposit is forfeited in full if the venue requires special cleaning or any rule is breached.
- All external bookings must be confirmed in writing with Parish Office before the event date.
CDM Ministry Events
- Ministry groups book at no charge, subject to availability and Parish Office approval.
- Zero-waste policy is strictly enforced. A fine of RM 100 applies for breach.
- Events needing special arrangements (extended hours, setup) require written approval from Parish Office.
- Ministry users may only book on behalf of their own assigned ministry group.
Cafeteria — In-House Equipment
The Cafeteria is the only venue that provides in-house equipment (e.g. tables, chairs, serving ware). When booking the Cafeteria, the form will ask how you plan to handle equipment:
Using in-house equipment
List the specific items needed (e.g. "Round tables × 5, Chairs × 40"). Parish Office will prepare them for your event.
Bringing external equipment
Select this if sourcing your own. You remain responsible for setup, teardown, and zero-waste compliance.
Equipment availability is subject to Parish Office confirmation and is not guaranteed until the booking is approved.
